Vietnam coffee supplier: a sourcing guide for buyers

A clear buying brief makes coffee quotations easier to compare. Before requesting a green coffee quote, record the product, screen size, intended use, estimated quantity and destination market. Then compare the supplier’s documents and sample results against that brief.

Start with the intended use

A roaster should describe the intended sensory profile; a buyer sourcing for a blend also needs a way to review consistency between deliveries. Separate essential requirements from negotiable points so the supplier can respond to each item.

  • Product form and intended use.
  • Specifications to compare and the assessment method.
  • Required samples, accompanying records and the person reviewing them.

Check identity and the proposed supply scope

The business name on the quotation, product record and contact details should agree. Clarify who processes the coffee, who sells it and who handles quality questions. A factory photograph or directory listing alone does not establish the scope of a particular lot.

Compare quotations against the same specification

Compare more than the price beside a Robusta or screen-size label. Review moisture limits, defect definitions, foreign matter, screen retention, packing and sample records. Mark missing information explicitly instead of filling in an assumed value.

Record the decision after reviewing samples

Keep the sample reference, review date, reviewer and unresolved questions together. If approval is conditional, record the condition before proceeding. When contacting Vinh Hiep, send the buying brief and missing fields so the team can review the request against a specific product.
